I only started the thread for peeps looking for a site to hold a rally at , as Graham had quizzed me if I knew anyone .
As for organising a rally , I'll leave that to peeps who know what they are doing !!!

The rally has to, at least, break-even.
We can donate any profit to charity, no probs.
But if it makes a loss, who stands to pay?
As it's a BM rally, will they underwrite it?

Can i just chip in abart the car/no car bit....?
I only have 4wheels, (at the minute), but have mostly arrived at rallies as pillion, sumtimes driving or being driven.. and sumtimes parking up near the rally site and gettin a pillion lift to the site.
The latter being what i hadta do at the Farmyard... but....
as I was transferring from car to bike an Audi sports car pulled up alongside a transit van.. and outta the car got 2 powerangers who then off-loaded their shiny bikes outta the back of the van, loaded up their tents and rode the last mile or so to the rally ?!?!?
I'm not condeming them... in fact i fort it was quite funny...
I can see both sides of the argument, but wud never diss anyone for the way they arrive.

Ok I've been asked to comment on this topic, but I've not seen it before (Don't read all topics unless asked to).
I got to page 6 and it was just the same arguments so I've skipped to the last page now and if there's anything important I should know then you're gonna have to let me know.
So my comments...
BikerMatch will not underwrite this. Why? Because it's going to become a legal nightmare - not to mention expensive! Very!
If this is public then public liability insurance is required - that's gonna cost thousands
Nobody will turn up - We've seen it time and time again. I ended up going around Europe on my own this month cos 10 people let me down!
No way will I foot the costs when not enough people go, but see any profits go to charity! I'm not into gambling with my money, nevermind being stupid with it.
The expenses are going to far outweigh the income, you're not gonna get all 15,000 members going - 100 at the most. And that's just gonna cover your loo costs. And half of them will pull out - I guarentee it.
If you're putting BMs name to this - then anyone can go, no matter how they arrive! There's a lot of people here, female especially, who are looking for another biker in their life, and this is an opportunity for them to meet someone. Plus - many, MANY of our members have no bike right now. Some are too disabled to ride. It's about the people not the transport. You don't need a bike to be a biker, just the intention to ride and the biker heart.
Any company or individual is welcome to gamble with their money and run this. They can foot any costs and take any profits. They can run it how they want, and put our name on it if they like. BUT - I (Being the sole trader of BM) cannot accept any responsibility for anything that happens. Nothing can legally fall back on me if things go tits-up.

Numbers are the key to profit margin , perhaps an email to all members (full and standard) to assess interest and how many tickets they would require , I know I could shift around 20 tickets.
Graham is willing to cover licensing costs , probably best to arrange a meeting with Graham to discuss all relevant costs ,
ladies toilets are already on site - a block of 6 proper toilets .
Ill put it into the next newsletter, and we can create an event. We need to know the details though to add an event to the calendar, then people can add themselves to the attendence list so we can judge interest.
With 15,300 members - I don't want to be dealing with all the replies if we email out about interest. It can go into the newsletter, events calendar and here in the forum. But you need to know some info first otherwise nobody will say yes to the event
Really do need to consider everything, and we need an event manager to deal with it - maybe even a team of people to plan it all.
Someone needs to arrange tickets (not just a printout, but something with a stamp on and code number etc), gigs, beer, loos, security... and advertising! It needs to be advertised in the magazines etc or nobody will go.
I can arrange the magazine advertising, but I'm not going to pay for it (Costs a fortune - around 600 quid for a quarter page in Bike magazine, 1000 quid for half page).
15,300 members - how many are actually active members? i.e actually using the site - the majority of the profiles I have checked out have either used the site for 1 day only or have not used the site for 6months or longer , some have not used the site for over 2years !!
I think most of us were thinking on a smaller scale , like 500-1000
about the size of most of the rallies we all attend throughout the year , none of which are advertised in any of the bike mags .
Advertising need not be expensive , word of mouth (free) , events page on loads of club sites (free)(where I find all the rallies that I go to) , fliers handed out at rallies we attend (cost of fliers only ) . Fliers need not be expensive either , we have all got PCs and printers , all thats needed is the design (I know a graphic designer - cost around £35 or less) . Fliers could also be pinned up in biker friendly pubs (usually free) I frequent quite a few as most of the members on this site probably do too .
Most of the rallies I go to have been sold out on pre-booked tickets alone or very close to it with only a handfull of tickets left over to buy on the gate - so is magazine advertising necessary ,
in a word NO .
Beer , bar and liscensing would be undertaken by Graham .
I agree with Matt about the Public Liability Insurance, that could cost a small fortune and would have to be paid up front (no doubt). I have a friend in the insurance business who might be able to look into this for us and maybe find a loop-hole or two!!!
I have spoken to my band and they are keen to do a turn for the rally and would probaly only be looking for van rental costs/travelling etc, but I'm trying to sweet-talk them round into doing a freebie. I have assured them that, if we provide the Rock & Roll, then the sex and drugs would be provided.....only joking.
Matt - sorry if we 'let you down' with Europe, but anticipated monies didn't (and still haven't) come through .
